Privacy Policy
Last updated: 14 October 2026
Chauffeurs England ("we", "us", "our") respects your privacy. This policy explains what personal data we collect when you use our website or book our chauffeur services, how we use it, who we share it with, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who We Are
Chauffeurs England is the data controller for the personal data described in this policy. You can contact us about anything in this policy at:
2. The Information We Collect
Depending on how you use our services, we may collect:
- Contact details – your name, telephone number, email address and, for account customers, company name and billing address.
- Journey details – pick-up and drop-off addresses, dates and times, flight or train numbers, number of passengers and luggage, and any special requests you give us (for example child seats or accessibility needs).
- Payment information – payment amounts and transaction references. Card payments are processed by our payment providers (such as PayPal and our card processor); we do not store your full card number.
- Communications – emails, phone calls, WhatsApp messages, contact form submissions, feedback and complaints.
- Website usage data – your IP address, browser and device type, pages visited and how you arrived at our site, collected through cookies and similar technologies (see section 8).
If you book on behalf of other passengers, please make sure they are aware that you are sharing their details with us for the purpose of the journey.
3. How We Use Your Information
- To take, confirm, schedule and carry out your booking, including passing journey details to your driver and monitoring flight arrival times.
- To contact you about your booking, including confirmations, driver details, changes and reminders.
- To take payment, issue receipts and invoices, and manage refunds.
- To respond to enquiries, feedback and complaints.
- To keep records required for licensing, tax, accounting and legal purposes.
- To maintain the safety and security of our passengers, drivers, vehicles and website.
- To understand how our website is used so we can improve it.
- To send you occasional news and offers, only where you have agreed to receive them. You can unsubscribe at any time.
4. Our Legal Basis for Using Your Data
- Contract – where we need your data to provide the journey you have booked or to take steps you request before booking (such as giving a quotation).
- Legal obligation – where we must keep or share records to comply with private hire licensing, tax or other legal requirements.
- Legitimate interests – to run and improve our business, keep our services secure and handle complaints, where this does not override your rights.
- Consent – for marketing messages and non-essential cookies. You can withdraw your consent at any time.
5. Who We Share Your Information With
We never sell your personal data. We only share it where necessary with:
- The drivers assigned to your journey.
- Payment providers who process your payments.
- Service providers who help us run our business, such as our booking and dispatch system, website hosting, email and messaging providers, and IT support. They may only use your data on our instructions.
- Analytics providers such as Google Analytics (see section 8).
- Licensing authorities, the police, insurers or other bodies where we are required by law, or where it is necessary to protect someone's safety, prevent crime or deal with a legal claim.
6. International Transfers
Some of our service providers may store or process data outside the United Kingdom. Where this happens, we make sure appropriate safeguards are in place as required by UK data protection law, such as UK adequacy regulations or approved standard contractual clauses.
7. How Long We Keep Your Information
We keep booking and payment records for up to six years after your journey to meet our legal, tax and accounting obligations and to deal with any claims. Enquiries that do not lead to a booking are normally deleted within 12 months. Marketing preferences are kept until you unsubscribe. After these periods your data is securely deleted or anonymised.
8. Cookies and Analytics
Our website uses cookies – small files stored on your device. Some are essential for the site and our online booking system to work. We also use Google Analytics to understand how visitors use our site, which sets cookies that collect information such as the pages you visit and how long you stay. You can block or delete cookies through your browser settings, although parts of the website (including online booking) may not work properly if you do. You can also opt out of Google Analytics using Google's browser add-on.
Our website may contain links to third-party sites and services such as WhatsApp, Facebook and Instagram. Those sites have their own privacy policies and we are not responsible for how they use your data.
9. How We Protect Your Information
We use appropriate technical and organisational measures to protect your personal data, including encrypted (HTTPS) connections, restricted access to booking records and the use of reputable, secure service providers. No method of transmission over the internet is completely secure, but we work hard to keep your information safe.
10. Your Rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct data that is inaccurate or incomplete.
- Ask us to delete your data, where we no longer have a legal reason to keep it.
- Ask us to restrict or stop using your data in certain circumstances, or object to our use of it based on legitimate interests.
- Ask us to transfer your data to another organisation, where technically possible.
- Withdraw your consent at any time, where we rely on consent.
To use any of these rights, please email info@chauffeursengland.com. We will respond within one month. There is normally no charge.
11. Complaints
If you have a concern about how we handle your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
12. Children
Our services are booked by adults. We do not knowingly collect personal data directly from children. Where children travel with us, their details are provided by the adult making the booking.
